2. Personal data collected

We may collect and process:

• identification and contact information, including name, surname, email address, telephone number and address;
• booking and stay information, including dates, number of guests, property selected, requests and communications;
• guest identification data required for the legally mandated SES.Hospedajes traveller-registration system;
• payment and transaction information. We do not store complete payment-card details;
• communications received through the contact form, email or WhatsApp;
• technical and browsing information collected through cookies and similar technologies.

3. Purposes and legal basis

Your data are processed to manage enquiries, bookings, check-in and check-out, provide guest assistance, perform the accommodation contract and communicate information related to the stay. The legal basis is performance of a contract or steps requested before entering into a contract (Article 6.1.b GDPR).

We also process data to meet legal, tax, accounting and traveller-registration obligations, including communication to SES.Hospedajes. The legal basis is compliance with legal obligations (Article 6.1.c GDPR).

Where necessary, we may process limited data to protect our business, prevent misuse and improve the service, on the basis of our legitimate interest (Article 6.1.f GDPR). We do not currently send newsletters or promotional communications.

4. Payment information

For direct reservations, card payments and pre-authorisations are processed by Stripe through VikBooking. For Vrbo reservations, payment information may be processed through VikBooking where required by the applicable Raw Payment flow. Italian Luxury Holiday House does not retain complete card details.

5. Data recipients

Data are not sold or publicly disclosed. They may be shared only where necessary with VikBooking, Stripe, banks, booking platforms, hosting and email providers, technical suppliers, accountants or legal advisers, and competent public authorities, including SES.Hospedajes.

6. International transfers

Some service providers may process data outside the European Economic Area. Where this occurs, appropriate safeguards required by applicable law will be used, such as an adequacy decision or standard contractual clauses.

7. Data retention

• enquiries received through the form, email or WhatsApp without a booking: up to 12 months after the last communication;
• booking, contract, accounting and payment documentation: up to 6 years, where required for business, accounting or legal purposes;
• SES.Hospedajes traveller-registration data: 3 years from registration;
• data may be retained longer where necessary to establish, exercise or defend legal claims.

8. Your rights

You may request access, rectification, erasure, restriction, objection or portability of your data, where applicable. You may exercise these rights by writing to info@italianluxuryhh.com.

You may also lodge a complaint with the Spanish Data Protection Agency: www.aepd.es.
